Please review this page for important information before requesting a Financial Aid Event at your school.
WVHEPC’s Division of Financial Aid offers a variety of presentations and workshops to assist your students and their families in understanding student financial aid and navigating the application process.
Please review the types of events offered below so you select the correct type for your students when making your request. Note: To cover all applications and financial aid related information, we recommend you host a Financial Aid 101 Presentation/FSA ID Workshop in the fall and a FAFSA workshop January 2025 and after for the 2025-2026 application cycle.
Click the Request a Financial Aid Event button to access the electronic form. Once your request is approved, a confirmation email will be sent to you with the selected date. Please allow up to 3 business days for us to process your new event request. For you to complete the event scheduling process, you MUST confirm you accept the selected date/time in the confirmation email. If you don’t confirm the proposed date, your event will not be scheduled.
Type of Events:
- Financial Aid 101 Presentation – Overview of state and federal aid applications and the financial aid process. Event limited to 90 minutes but is normally an hour presentation, preferably scheduled in the evening so parents may attend.
- FAFSA Workshop – Assistance completing FAFSAs with students and parents. Event can be scheduled for 2 to 5 hours during/through day/evening. Offered in group setting or by individual appointments. Student and parent should have an StudentAid.gov Account (FSA ID) created to complete the FAFSA prior to the workshop date.
- School Day Workshop – This is an event during the school day and can include some or all of the following: assistance completing state aid applications (Promise, WV Invests Grant, etc.) and creating WVSAM Accounts (for students), and/or creating StudentAid.gov Accounts (FSA ID), as well as presentations (Financial Aid 101 or specific state programs). Please specify the type of event desired in the comment box on the request. Event can be scheduled for 2 to 5 hours or the whole school day. (Note: If you are requesting students/parents to complete the FAFSA during the school day, select FAFSA Workshop).
Combination Workshops:

- FA 101 Presentation/FSA ID Workshop – A Financial Aid 101 Presentation with time allotted for assistance creating StudentAid.gov Accounts (FSA ID) for students and parents. Computers required. Event can be scheduled for 2 to 5 hours, preferably scheduled in the evening so parents may attend.
- FA 101 Presentation/FAFSA Workshop - A Financial Aid 101 Presentation with time allotted for assistance with FAFSA completion. Computers required. Event can be scheduled for 2 to 5 hours, preferably scheduled in the evening so parents may attend but can be scheduled during the day.
- FA 101 Presentation/State Aid Application Workshop - A Financial Aid 101 Presentation with time allotted for assistance with completing state aid applications (e.g. Promise, WV Invests Grant, etc.) and/or creating WVSAM Accounts (students only). Computers required. Event can be scheduled for 2 to 5 hours, preferably scheduled in the evening so parents may attend but can be scheduled during the day.
- Other: For any other type of event, please specify in comments when submitting request.
Schedule day/time of event:
- To submit an event request, you will be asked to provide 3 days/times for the event in priority order and, in some cases, the length of the event.
- Please be cognizant of events running too late if scheduling a late start time.
Expectations for Counselor/School Representative:
- Counselor or school representative are expected to arrive 30 minutes in advance of the event to greet and guide the presenter from WVHEPC.
- Counselor or a school representative must be present during the entire event.
- Promote the event. You must share the link with your students/families so they may register (unless you are hosting a School Day Event, which does not require registration). Your registration link will be sent in the event confirmation email after you have accepted the date/time of event. Starting two weeks before the event, you will receive a list of registrants. Students/families registered will receive reminder emails about the event and other helpful information by registering. Note: Events with low registration numbers will be canceled or rescheduled.
- Make sure internet connection and other needed equipment is available during the scheduled event date with an IT person at your school. If possible, have an IT person available during the workshop.
